Administrator accounts

Administrator accountsWith administrator accounts, multiple people can log in at the same time and manage your webshop, products and orders.

For example:

  • An employee can add products, update prices and stock and process orders. Incoming orders are emailed automatically to this administrator.
  • A webmaster can create a design for your website but can not access your orders and customers.

Keep in mind that giving more people access to your webshop management imposes a greater security risk. Give administrators the correct access rights and delete the accounts when they no longer need access. If not used, deactivate this module for additional security.

Administrators

Navigate to Settings > More options > Administrator accounts.

If Administrator accounts is not displayed in the menu, first adjust the user experience level to Advanced, at Settings > User experience level.

Adding a new administrator account

Click the New administrator account button.

User rights
Here you can select administrators' access rights which limit the actions an administrator can perform.

Denied
The administrator can not log in.
API user
The administrator can only log in into the EasyWebshop API and not into the management interface of the webshop. Use this if you want to use a separate user and password for API access.
POS app
This administrator can use the Point Of Sale app and manage orders.
Employee
An employee can manage categories, products, orders and customers. The employee can also customize CMS pages.
The employee can not change the layout, nor set shipping or payment methods and can not see the visitor analysis.
Webmaster
A webmaster can change the layout and settings of the website. This includes shipping and payment methods. A webmaster can not see your orders, customers and visitor analysis.
Main account
This administrator has the same rights as the main account. Except deleting the shop, this can only be done with the main account.
Main account + My shops
This administrator has the same rights as the main account and can also login into other connected webshops.
Name
Here you can enter the first and last name of the administrator. These names are used in communications.
Address
In these fields you can provide more details of the administrator. By default the address of the main account is filled.
Email address
The email address needs to be verified so order emails can arrive and for a password recovery to be possible.Make sure to type the email address correctly. The administrator needs to click a link in this email and choose a secure password. This link should be opened on another device that is not logged in at that moment.
Email from EasyWebshop
The administrator will receive emails about updates, support tickets and reminders to renew the webshop version.
Email from orders
The administrator will receive an email when an order is placed in your webshop.
Email from contact and guestbook
The administrator will receive emails from customer inquiries and new guestbook messages.

The main account will receive these emails by default.

It usually does not make sense to send the automated emails to denied administrators, API users or webmasters.

Editing or deleting administrator accounts

Use the Edit and Delete icons to edit or delete an administrator account.

If you change the email address of an administrator account, the email address must be re-verified.

Changing the password can only be done by the administrator, at account settings.

You can also delete the administrator account using the Delete button below the form for editing the details.

You will see a confirmation message before deleting an administrator. Deleting an administrator cannot be undone after confirmation. You will have to create the administrator again.

Frequently asked questions about administrator accounts

The administrator can not log in
  • The email address of the administrator account is not verified
  • The administrator accounts module is not activated
  • The administrator account is denied
  • The administrator is an API user: this user can only log in using the API (when activated)
  • An incorrect password is used: do a password recovery
The verification email does not arrive
  • The email ends up in the spam folder or is deleted by an incorrectly configured spam filter (most common)
  • The mailbox of the receiver is full
  • The email address is entered incorrectly
The verification link does not work
  • The device which opens the link should not be logged in
  • The link is only valid for one hour, create the administrator account again to re-send the email
  • The administrator account is already verified
  • Try using another web browser
